What Is a Hotel PMS? Property Management System Explained

What is a hotel PMS? A hotel PMS (property management system) is the software that runs a hotel's daily operations: reservations, check-in and check-out, room charges on each guest's bill, housekeeping room status, the night audit and the reports managers read each morning.

In hospitality, PMS stands for property management system. If you run a hotel, guest house or resort, the PMS is the operating system of the property: every booking, every charge and every room-status change goes through it. This guide explains what a hotel PMS does, who uses it, how it differs from a channel manager and a booking engine, and what to check before you choose one.

What does PMS stand for in hospitality?

PMS stands for Property Management System. It is the hotel information system that holds room information, takes reservations and runs front office operations, so if a quiz asks you to "write the complete name" of the system abbreviated PMS, the answer is Property Management System.

The name reflects its scope. A PMS does not manage one task; it manages the whole property: rooms, rates, guests, bills and the daily close. That is what separates it from general business software. A PMS understands room types, rate plans, folios (the guest's running bill) and the night audit, which spreadsheets and generic accounting tools do not.

Which hotel software automatically posts room charges and generates reports?

A property management system (PMS). Posting room charges to guest folios and producing the daily reports are core PMS jobs. In multiple-choice versions of this question, pick the option that is a hotel property management system: spreadsheet, image-editing and engineering-drawing programs do not post room charges or run a night audit.

Here is what "automatically posts room charges" looks like in practice in EloPMS:

What does a hotel PMS do? Reservations, front desk and housekeeping

For an independent hotel, the PMS handles the work that would otherwise sit in a register, a stack of paper bills and a phone line to housekeeping. These are the areas it covers.

Reservations and the tape chart

The front desk works from a tape chart: a calendar grid with rooms down the side and dates across the top, with each booking shown as a block. Staff create bookings and walk-ins, drag a booking to another room or stretch it to extend the stay, and see which rooms are free for any date. The PMS blocks a room being sold twice for the same nights and tracks each booking from enquiry to tentative, confirmed, in-house and checked out, or cancelled and no-show.

Check-in, check-out and the guest folio

At check-in, the PMS assigns the room, records the guest's ID details and opens the folio. During the stay, charges and payments build up on that folio; it can be split so that, for example, a company pays for the room and the guest pays for extras. At check-out, the folio is settled and the room is flagged for cleaning.

Guest profiles and history

A PMS keeps one profile per guest with contact details, ID, preferences and every past stay. When a returning guest calls, the front desk can see their history, VIP status and lifetime spend without asking them to repeat it. That record is also the starting point for winning repeat bookings directly instead of through an OTA.

Housekeeping room status

The housekeeping side of a PMS is a live room-status board: vacant clean, vacant dirty, inspected, occupied, out of order. When a guest checks out, the room flips to dirty on its own; when housekeeping marks it clean, the front desk can sell it. No phone call to ask whether a room is ready.

Night audit

Every night, the PMS closes the business day: it confirms no-shows, checks that charges and payments are posted, and produces the day's revenue and occupancy figures. See our hotel night audit checklist for the full process.

Reporting

Three numbers sit at the centre of hotel reporting:

A PMS calculates these for you, alongside source-of-business, channel and cashier reports.

What is a booking PMS?

People searching for a "booking PMS" usually mean one of two things, and a good PMS covers both:

PMS vs channel manager vs booking engine

ToolWhat it doesWho uses it
PMSRuns internal operations: reservations, front desk, folios, housekeeping, night audit, reportsFront desk, housekeeping, management, accounts
Channel managerSends rates and availability to OTAs and pulls their bookings backRevenue manager, front desk
Booking engineTakes commission-free bookings on your own websiteYour guests

When the three are separate products, they have to be kept in sync with each other. When they are one system, a booking from any source lands on the same tape chart and the same folio. For the detail, see hotel PMS vs channel manager and what is a hotel channel manager.

Cloud PMS vs on-premise: which model fits your hotel?

FactorOn-premise PMSCloud PMS

EloPMS is cloud software: staff use it from any modern browser on a desktop, laptop or tablet, with nothing to install. For the full comparison, read cloud PMS vs on-premise.

Basic PMS vs all-in-one platform

Separate tools mean separate records: the restaurant bill in one system, the folio in another, the revenue in a third. An all-in-one platform works on one guest, one ledger: in EloPMS, every charge, payment, deposit and refund posts to a double-entry general ledger as it happens, so the figure the receptionist keys is the figure the accountant sees.

Hotel PMS and tax: Pakistan and Saudi Arabia

If you operate in Pakistan or Saudi Arabia, check how a PMS handles tax before anything else.

Who uses a hotel PMS?

General managerOne dashboard for occupancy, revenue and alerts"Are we on track this month?"
Front desk agentFast search, room assignment and folio access"Where is this guest's booking?"

How to choose a hotel PMS

  1. Cloud access: can staff and owners use it from any browser, with no server at the hotel?
  2. All-in-one or integrations: are the booking engine, channel manager, POS and accounting included, or bought and connected separately?
  3. Outlets: can the restaurant, bar, banquets and shop charge to the guest's room?
  4. Multi-property: if you run, or plan to run, more than one property, is there a group view?
  5. Tax for your market: does it integrate with the invoicing system you report to?
  6. Onboarding and support: what training, migration help and support hours come with it? Our hotel PMS implementation guide lists what to ask.
  7. Pricing: what is included, and what is charged separately?

Frequently asked questions

What does PMS stand for in hospitality?
PMS stands for Property Management System. It is the hotel information system that holds room information, takes reservations and runs front office operations, along with guest folios, housekeeping status, the night audit and reports.
Which hotel software automatically posts room charges and generates reports?
A property management system (PMS). Posting room charges to guest folios and producing daily reports are core PMS jobs. In EloPMS, check-in posts a room-charge line for every night of the stay, plus tax, service, package and meal-plan lines, and the same data feeds 60+ hotel reports.
What is a booking PMS?
Usually a PMS that takes bookings online through a booking engine on the hotel's own website, and connects to OTAs such as Booking.com through a channel manager so their reservations land in the PMS. EloPMS includes both: a commission-free booking engine and a channel manager connected with your own OTA partner accounts.
What is the difference between a PMS and a channel manager?
A PMS runs your internal operations: reservations, front desk, folios, housekeeping, night audit and reports. A channel manager sends your rates and availability to OTAs and brings their bookings back into the PMS. Some PMS platforms, including EloPMS, have the channel manager built in.
How much does a hotel PMS cost?
It depends on the number of rooms and properties, and on which modules you need, such as a booking engine, channel manager, restaurant POS or accounting. Ask each vendor what is included and what is charged separately. EloPMS pricing is on request. EloPMS offers a 15-day free trial with no credit card required.
Is a cloud PMS better than on-premise?
For most independent hotels, a cloud PMS is simpler: no server at the hotel, updates applied by the provider, and access from any browser. It does need an internet connection, so ask any vendor what happens at the front desk if the connection drops. EloPMS is cloud software used through a browser.
